How to sort your photos by the date they were taken
You go to sort a folder of photos "by date," expecting your 2011 holiday to land under 2011 — and instead everything is stamped with the day you copied it. The good news: the real date, the day you actually pressed the shutter, is usually still hiding inside each photo. Here's the difference between the two dates, why one keeps lying to you, and how to sort thousands of pictures into the right year without touching them one by one.
Two different dates, and only one is true
Every photo file carries more than one idea of "when." There's the file date — the created and modified timestamps your operating system keeps in the folder listing — and there's the date taken, written by the camera into the image itself. They are not the same thing, and confusing them is why so many photo folders end up in the wrong order.
The file date describes the file: when this particular copy appeared on this particular drive. The date taken describes the moment: when the shot was actually captured. Sorting by the first tells you about your copying habits. Sorting by the second tells you about your life. To make it worse, "modified" and "created" don't even agree with each other — on a freshly copied file the created date is often later than the modified date, because the copy was created today while its modified time was inherited from the source. Sort by one and you get one wrong answer; sort by the other and you get a different wrong answer.
How "date taken" actually works
When your camera or phone takes a picture, it records the capture date and time inside the file's
EXIF metadata — a small block of information embedded in the image, in a field named
DateTimeOriginal. That's the "date taken" Windows shows you in a photo's properties. It
also stores the camera make and model alongside it. Because this date lives inside the image
rather than in the drive's record of the file, it rides along through copies and survives most
re-saving.
The date taken travels with the picture; the file date does not.
Move a photo between drives, phones, or accounts and its EXIF DateTimeOriginal stays put,
while the file's created and modified dates get rewritten each time it lands somewhere new.
Why copies and downloads reset the file date
Here's the trap. Almost anything you do to move a photo resets its file date to now:
- Copying it to an external drive or a new computer stamps the copy with today.
- Downloading it from email, a chat app, or a cloud library gives it the date you downloaded it.
- Exporting from a photo app, or backing up and restoring, writes a fresh modified time.
- Sending a photo to yourself or someone else and saving it back does the same.
None of that touches the picture's real content, so the EXIF date taken stays exactly as it was in every case. But if you sort by file date, a photo from 2011 that you copied last week now claims to be from last week — and every future copy resets it again.
The photos that have no date taken
Not every image carries an EXIF capture date. Screenshots, images saved from the web, heavily edited
exports, and older scans often have no DateTimeOriginal at all — the field was simply never
written. For those, the file's created and modified times are the only clue left, and even they may only
tell you when the file was last handled. That's a real limit, not something any tool can invent a true
date around, so the honest fallback is to use the earliest file time available and set genuinely undatable
photos aside rather than guess a year.
Why filename and file date leave everything in the wrong year
This is where the usual shortcuts fall apart. Sorting by filename fails because
cameras reuse names — IMG_0001 comes back around on every card and every phone, so the same
name spans years and files that sort next to each other were taken a decade apart. Sorting by file
date fails because, as above, copying and downloading have quietly overwritten it, so a whole
archive can collapse into "the week I moved it all onto this drive." Either way you get neat-looking
folders that are chronologically meaningless.
And doing it by hand is hopeless at scale. Checking each photo's real date taken, deciding its year, and dragging it into place might be tolerable for fifty pictures; across thousands spread over old drives and phone dumps it's days of tedious work you'll never finish — and one wrong drag is a photo silently lost in the wrong decade.
