How to organize photos from old hard drives, phones & backups

Somewhere you have a drawer, or a folder, that is really a decade of your life: three old phones, a box of camera cards, two external drives, a Google Takeout you downloaded once and never opened, an iCloud export from when you switched to Android. It's all there — just not in any order, not dated right, and duplicated more times than you can count. Here's how to turn that pile into one archive you can actually use and hand down.

First, understand the mess

The reason this feels impossible is that the photos arrived through years of different devices and habits, each with its own quirks:

Why file dates are wrong — and how EXIF fixes it

Here's the trap that ruins most attempts. When you copy a photo from one drive to another, the operating system usually stamps it with today's date — the moment you copied it — not the day the picture was taken. Sort a folder of copied files "by date" and you get the day you did the copying, not your 2009 holiday. Every copy resets it again.

The real date is still there, though — inside the photo. When your camera or phone took the shot, it wrote the capture date and time into the file's EXIF metadata, along with the camera make and model. That embedded date rides along through copies and even survives most re-compressions, because it lives in the image file itself, not in the drive's record of when the file appeared.

Organize by capture date, not file date. Reading each photo's EXIF capture date is what lets a picture taken in 2009 land under 2009 even if you copied it last week. When a photo genuinely has no capture date — some scans and screenshots don't — fall back to the earliest file date and flag it as undated, rather than guessing.

A folder scheme that stays sane

Resist the urge to invent an elaborate system. The layouts that survive years of adding to them are simple and mechanical, so nothing depends on remembering your own rules:

Whatever you pick, apply it uniformly and let the capture date do the sorting. The goal is a scheme you never have to think about again.

De-duplicate so overlapping backups don't multiply

Because every drive is largely a copy of the one before it, dumping them all into a single folder would multiply your library severalfold. The fix is to keep exactly one copy of each unique photo and drop the rest — safely.

"Safely" means matching photos by their actual content, confirmed by their capture metadata, so you catch the copies that services re-compressed to different file sizes — the ones a size-or-name comparison misses entirely — while never removing a burst frame, an edit, or a genuinely different shot that merely looks similar. Match on real sameness, keep a report of what was a copy of what, and overlapping backups collapse into one clean set instead of ten redundant ones.

Huge libraries are safe to stop and resume. Hundreds of thousands of photos across terabytes of drives can take a while to work through — so the run should save its progress as it goes. You can hit Cancel, shut the laptop, come back tomorrow, and pick up where you left off. And when you unearth another old drive months later, point the tool at the same archive again and it adds only what's new.

Do it locally — your photos are nobody else's business

One firm rule: this should all happen on your own computer. Your photos are your family, your home, your whole life — there's no reason to upload them to a "cleanup" website or a cloud service to get them organized.
